When the service is needed

When do education documents need an apostille?

An apostille authenticates a Polish public document for use abroad. Whether it is required depends on the destination country and receiving institution.

Admission and further study

An overseas university or school asks for authentication of your Polish certificate, diploma or supplement.

Recognition of education

The document is used in an official procedure for recognising education or qualifications abroad.

Submission to an overseas institution

A public authority or employer specifically requires an apostille on the education document.

Documents we accept

Which education documents can receive an apostille in Poland?

The authority and procedure depend on the document type and issuing institution.

School certificate

School leaving certificates and other school documents intended for use abroad.

School leaving certificate

A matura certificate (świadectwo dojrzałości), annex or other document issued by a regional examination board.

University diploma

A university diploma, its official copy (odpis) or a duplicate.

Competent authorities

Who issues apostilles for education documents in Poland?

There is no single authority for all education document apostilles. We first identify the document type and issuing institution.

NAWA

Issues apostilles for Polish university diplomas, supplements, statutory official copies, duplicates and certain certificates of study completion.

Ministry of National Education

Issues apostilles for certain categories of school documents specified in Polish regulations.

Education superintendent

Handles certain school certificates, student record books and other school documents within the relevant area.

Regional examination board

The relevant board’s director apostilles the matura certificates, annexes, diplomas and certificates issued by that board.

Ministry of Culture

Issues apostilles for documents from art schools and artistic education institutions.

Other specialist procedures

Craft qualifications and certain academic documents may need prior authentication before submission to the Polish Ministry of Foreign Affairs.

Practical experience

Which mistakes should you avoid when apostilling certificates and diplomas?

Checking documents before submission helps prevent returns and inaccurate timescale estimates.

Wrong authority

A diploma, school certificate and examination board document are incorrectly sent through the same procedure.

Submitting an ordinary copy

A photocopy is mistaken for an official copy (odpis), duplicate or notarial document.

Incorrect timescale

Prior authentication, transit time and the authority’s procedures are overlooked.

Requirements not checked

An apostille is ordered before the receiving institution confirms the required document and translation format.

Preparing for submission

How do you arrange an apostille and education document translation?

If both an apostille and translation are required, agree the format and order of preparation.

Check the requirements

Check whether an apostille is needed, which document it must be attached to and the translation type accepted.

Obtain the apostille

Submit the appropriate original, official copy or duplicate to the competent authority.

Translate the complete set

Once completed, have the document and apostille translated in the required format.

Questions and answers

Frequently asked questions about education document apostilles

When a Polish document is used abroad and the receiving institution requires authentication of its official status. Ask the institution for its exact requirements before ordering.

It depends on the document. University diplomas generally fall within NAWA’s remit. School documents may be handled by the Ministry of National Education, the relevant education superintendent or the director of a regional examination board.

No. An ordinary photocopy cannot be apostilled. An official copy (odpis), duplicate and notarised copy have different legal status and must be checked before submission.

First request a duplicate from the issuing institution, then check which authority is competent to apostille it.

The timescale depends on the document and authority. Some education documents can take over a month. We check whether expedited processing is possible in each case.

As a general rule, official Polish and Ukrainian documents are recognised in both countries without further legalisation under the 1993 treaty. Still confirm the institution’s requirements and the translation format before submission.

If both are required, translation is usually completed after the apostille so it covers the entire set. Confirm the sequence with the receiving institution.

Yes. We carry out the initial check remotely, then agree how to receive the original and return the completed document.
